I have worked on the project of enterprise systems where I had contributed my all efforts, time, and skills to complete the project effectively and to achieve the desired results on time. In completing the project we worked as a team of 4 students. The success of any project depends on how efficient is the team in completing and achieving the objectives of the project on time.
Team work had helped better to achieve the outcomes as the responsibilities was been shared by all of us equally. It has also helped us to boost our motivation and had also built our confidence level.
The strategies I had used in project completion was schedule estimating which had helped me to identify how long it will take to complete the project, also the strategies and tools was used to monitor the cost and budget made for the project, communication strategy was developed to ensure that there was an effective flow of communication among the team members and other staff members.
The project issue that existed in the project was to coordinate the activities as being a team member, so there was a time when the ideas and solution of every team member was not matching and it create a situation of conflict among the team members, further the goals or objectives of the project was not clearly defined so it was also a issue,
the communication gap had also existed among the team members which had created many problems, the allocation of resources was also not proper so it resulted in incurring more time for completing and meeting the deadlines. There were 4 members in our team having different roles and responsibilities to fulfill in completing the project.
One was a business analyst, one project manager, one project sponsor and one strategy maker. There were many conflicts that had resulted while completing the project. There were times when as a team we had conflict regarding the ideas, thoughts and different perspectives. So it was important to handle the conflicts so as to achieve the desired results and goals on time.
I as a team member had suggested my team to discuss the cause of the problem and have made them aware of the consequences of these conflicts for our project. I had clarified the positions of each team member so that every team member knows about their role and responsibilities. I had also tried to remove and reduce the communication gap that earlier existed in our team.
Whenever there is any project there are many types of risks which are associated with the project. In this project also there were many various risks such as cost, schedule, performance risk etc. To mitigate the schedule risk I had adopted Work Breakdown Structure tool, also to reduce the performance risk I had continuously monitored the performance of all the team members, and for reducing the cost risk I had prepared a proper budget plan.
- Knowledge of project processes, ability to outline pros and cons of project processes
- The project processes in this project are project initiation, project planning, project execution, control and validation, and closeout and evaluation. In the initiation phase the all main activities are carried out, in project planning phase the plan is developed regarding how to address the requirements of the project, in project execution the project is executed to achieve all its desired objectives (Lindner and Wald, 2011). The control and validation phase is done for having a control on the project activities.
The last phase is about identifying and evaluating the activities of the project. The pros and cons are that the project plan should be made in time and properly including all the requirements of the project. Also, the evaluation should be done accurately and effectively so that the deviations if any can be identified.
- Clear understanding of roles and responsibilities, and individual contributions
- The roles of the team members are project manager, project sponsor, business analyst, and strategy maker. As a project manager my role and responsibility was of completing the project. Also, the role is ensuring that the project is going ahead in a proper direction within the time period allotted and within the budget, etc. As a project sponsor my work or role was to work with the project manager and to work in the high level of project planning (Carman, et al., 2013).
As a business analyst my role was of my role was to provide solutions to complete the project properly and to ensure that the project meets its objectives. As a strategy maker my role was to develop effective strategies that will help to reduce risks and conflicts and to reduce the long term threats and also these strategies will further help to give the project a better direction.
- Any ethical, team, or other dilemmas
- The project managers have to face sometimes many ethical issues while carrying out a particular project. And it often happens that the proper training is also not given regarding these issues. The issues are like health and safety standards are sometimes not accurate, biasness often results on creating a situation of conflict, blaming others even for your own problems, etc (De Jong, et al., 2010).
The team members also sometimes land up in a situation where every team mate has different perspective related to a situation so it results in conflicts among them. Sometimes lack of authority is also seen, limited time period, etc.
- Able to criticise self-work and work of others in a professional manner
- I as a part of this project felt really well in conducting all the activities. There was a time when initially I was a bit nervous but later I realized that I can achieve the desired results. I as a part of team was able to lead my time but there were times when I had exercised much of the authority and have taken decisions solely. My all other team members had also performed very well in achieving the goals (Bardon and Josserand, 2011).
- Reflection on the project experience and learning outcomes
The project enterprise system was completed on time and within the specified budget by combing all the efforts of the team effectively. The learning outcome was that it had helped us to utilize our full efforts, skills, and knowledge for conducting the activities and achieving the objectives of the project (Kim, et al., 2011).
