BSS060-6 Project Management Assignment Sample 2023
1. Introduction
Project management is the process that demonstrates the practice of leading a team in order to achieve the selected goals and to meet with the success criteria within the given period. Supermarket X, one of the well-known markets in the UK has won the composite area of Taunton in order to spread their business for enhancing their supply chain management. The supermarket has won the contract for the next five years and thus it has decided to shift their parts of the business. For this reason of shipment and also to manage the project work, they have selected PRINCE2 project methodology in action. PRINCE2 methodology helps to understand the business from its core and based on this understanding helps to take the proper approach. This report has mainly shed light on the detailed concept of the PRINCE2 methodology. The report aims to critically evaluate the reasons for selecting the PRINCE2 project methodology and also the benefits associated with this.
2. Main body
2.1 Details of the project
Supermarket X, one of the most well-known retail stores in the UK has experienced enormous growth and thus has decided to shift its business to the warehouse, located in Taunton. On behalf of supermarket X, the client has been provided with the responsibilities to operate the warehouse accurately and along with this the transport system. The project has also aimed to recruit more new employees for an effective management system so that Supermarket X can experience success as early as possible.
Taunton warehouse project has decided to close some of its operations, like Chipping Sodbury, Bristol, Cirencester and many more. It has been decided to relocate all these operations and to initiate it again in the new place. The main objectives of the project are to migrate some of their services from the current site to the area of Taunton and start up a new vehicle maintenance unit along with a resource recovery unit. The project has also planned to recruit new employees in action to manage the entire process accurately. Along with this, the project has decided to close some of the old sites and TUPE transfer to the new area.
From this entire project management process, it has been expected to experience business growth for Supermarket X and to improve the supply chain management system. An estimated timeline has been scheduled for the completion of this entire project. It has been aimed to complete the project within March 2020 to September 2020 and has also estimated the budget approximately £3.5 million. It has been assumed that the project would be completed with a minimum amount of risks and would provide a better operational management system. However, there might be major constraints regarding the recruitment process. As mentioned by Vaníčková, (2017), it is quite difficult to hire the appropriate employees who can manage the process effectively and thus it might affect the success of the project.
2.2 Activities
Taunton warehouse project has specific objectives in order to expand the supply chain of Supermarket X and to improve its overall business performance. Thus the project has undertaken several activities to complete the performance.
Initiation
This would mainly illustrate the basics of the project and the main rationale behind the project. PRINCE2 methodology would help to understand the background accurately and would help to take the proper steps for execution.
Execution
This is the most important step in the project management process. After the complete understanding of the project system, the accurate steps would be selected for the completion of the project. In this section, the closing of the old operational process, a new settlement of the services in the new area and the recruitment of employees would be included for making the project successful.
Monitoring and completion
This is the most important step in the project management process. As n mentioned by Alvarez-Dionisi et al, (2016), accurate monitoring is an important step that monitors the entire process. PRINCE2 methodology would help to evaluate the process to understand the effectiveness of the execution process.
Project closure
The project would be closed after completion of each step and also after a complete monitoring process. As mentioned by Jamali and Oveisi, (2016), in this step, the objectives of the projects would be analysed whether it has been able to fulfil the success of the project.
2.3 Description of the PRINCE2 methodology
PRINCE2 is one of the most famous project management tools which is generally used as the acronym for Projects IN Controlled Environments. As mentioned by Rehacek, (2017), this is one of the processes based management tools that mainly focus on the business justification and the structure of the organization. Based on this, the most appropriate product-based approach is generally used for managing the project accurately. As per Jaziri et al, (2018), there are mainly 7 principles that help to illustrate the project activity and also help to determine the accurate process-based management system.
Business justification:
This is the most preliminary step in the case of project management and it is related to the complete understanding of the business justification process. As mentioned by McGrath and Whitty, (2020), it is most important to understand the main theme of the project and based on this, it helps to take the proper measure for managing the project. PRINCE2 methodology would help to understand the basics of Taunton warehouse project and thus would help to make the project successful.
Learning from experience:
According to Esteki et al, (2020), proper project management can only be done with the help of experience. This helped to gather more knowledge about the files as well as the risk factors and thus enrich the knowledge circle to complete the current project efficiently. This project management tool would help to explore the experience with the help of different experienced employees and thus it would lead to a successful plan for this project.
Complete understanding of roles and responsibilities:
Experienced and knowledgeable managers can be incorporated into the project management system. As mentioned by Ewin et al, (2017), the knowledge of an experienced person helps to understand the risk factors for the project easily. Thus PRINCE2 methodology includes the experienced person for managing the project and to get the best outcome.
Manage through steps:
The entire project can be managed through different steps which would lead to the success of the project. For example, the activities of the Taunton warehouse project would be divided into several tasks, like project initiation and closing of older sections. This also includes the opening of new stores, recruitment of new employees and most importantly monitoring of the entire project which would help to complete the project properly and within the given period.
Manage through exception:
PRINCE2 methodology would be helpful to manage the project with exceptions so that the project can experience the maximum benefits. As mentioned by Paredes and Ribeiro, (2018), every project varies from each other and thus it is required to manage the project exception to make it extraordinary. This would include project tolerance and would highlight the report for getting maximum benefits.
Focus on the products:
The entire project is going to focus on the success rate of the project and the project objectives. Based on this, this methodology would help to plan the project-based approaches to achieve the selected goals.
Measures were taken that suits the environment:
The PRINCE2 methodology can help by undertaking accurate project methods that also suit the environment. As mentioned by Ewin et al, (2017), sustainability is one of the most important steps that is required to complete the entire project and this methodology helps to complete the project successfully.
2.4. Critical evaluation for choosing PRINCE2 methodology
For the Taunton Warehouse project, PRINCE2 methodology has been selected in order to ensure the proper development and success of the project. According to the view of Vaníčková, (2017), the procedure and technique of using PRINCE2 methodology have more feasibility and professor scopes as compared to order project management methodology. PRINCE2 methodology can enhance the communication process in the project development procedures with various sites and scopes because of the presences of tailoring and flexibility. In the project, PRINCE2 methodology has been considered because it has more capabilities and features as compared to PRINCE 1989, PMI and APM.
As per the view of Naik and Jenkins, (2019), PMI methodology did not have a flexible and convenient project approach that can help in the development of different stages of a project in a specific way. On the other hand, APM methodology has a poor communication process because of it the interaction process between internal and external stakeholders of the project get affected. For the success of project Taunton Warehouse, PRINCE2 can be a better choice as compared to other available methodology because of its characteristics and capabilities. The major reasons for selecting PRINCE2 methodology are the standard single approach, product-based categories, effective communication skills, proper control in planning and regulating project and details competencies (Krysiński and Miller, 2016).
Standard Single Approach: The standard single approach of PRINCE2 offers simple and convenient command and techniques to manage project progress. As per the view of Coppola et al, (2016), single approaches include all the stages of project development from project planning to project closing and it helps to complete the project in an effective way. In addition, the approach of the PRINCE2 methodology is highly capable to manage multiple functions of the project development process in a significant way.
Product Based Categories: The Product Based Categories is one of the greatest advantages of implementing PRINCE2 methodology in the Taunton Warehouse Project development process. As per the view of Rehacek, (2017), product-based categories divide the project management process into different stages for making it simple and convenient to control and monitor. In addition, this process also helps the internal and external stakeholders of the project manager to complete the tasks in the given time frame in a significant way. Moreover, PRINCE2 methodology also guides in different stages of project progress in order to avoid the error.
Effective communication skills: One of the significant advantages of using PRINCE2 methodology in the project development process is the establishment of effective communication between the stakeholders for the successful completion of the project into the right time. As per the view of Axinte et al, (2017), it helps to communicate effectively with all the team members during the project progress time and helps to maintain updates. In addition, the use of consistent approaches in this methodology helps to transfer information and data amongst different functional levels of the project effectively.
Proper control in planning and regulating projects: PRINCE2 methodology offers greater control in different stages of the project development process and helps to maintain workflow in a specific direction. It also contributes to the process of managing different functional levels and categories of the project in a significant way (Axinte et al, 2017).
Details competences: One of the most significant advantages of using this methodology in Taunton Warehouse Project management is the opportunity of detail competency in different stages of project development. PRINCE2 methodology helps to understand different roles and responsibilities of the project development process by availing detailed information regarding different stages and phases of the project in a clear and simple way (Hughes et al, 2017).
2.5. Evaluation of risk
The evaluation of risk is associated with the process of considering and focusing on possible risks of the project for reducing their impact on project development. The possible risks in the Taunton Warehouse Project are the legal and government risk, financial management and employee’s management risk. As per the view of Esteki et al, (2020), legal and government risk is associated with various permission and maintenance processes of government guidelines in the project. The project must consider its corporate social responsibility in order to manage different legal and governmental issues in the construction process. One of the most significant risks is financial management that can occur due to improper planning of the budget. Moreover, major risks associated with employee management are the poor performances and poor communication and the management of employees in a specific way is a possible risk of the project.
Risk Number | Risk Description | Existing Controls | Likelihood (1-5) | Impact (1-5) | Risk Rating | Mitigation Actions |
1. | Legal policy and permission risk | Consultation with legal advisor and following government construction guidelines | 4 | 2 | Recruitment of legal advisor
2. | Financial Risk | Development of proper budget plan, focus in expense | 3 | 5 | Consideration of the major financial constraint development of the potential budget plan
3. | Monitoring and management of employee’s performance | Poor employee engagement, lack of proper detention and 4 leadership style | 2 | 4 | Focus on different operations and phase of project development |
3. Conclusion
From the above discussion, it can be concluded that the use of PRINCE2 methodology in the project development and management process of the Taunton Warehouse Project can be profitable. PRINCE2 methodology is a better choice for the construction of 400 stores and management of 32000 employees. This methodology can also help in achieving the project objectives such as project development plan, communication plan recruitment process, risk analysis and transfer of the third party in a significant way. The major focus areas of this project are the details of the project, major activities, and effectiveness of PRINCE2 methodology, critical evaluation of the selected methodology and evaluation of the risk.
The details of the project have focused on the budget and key stakeholders of the project. Main activities have emphasized on the development of project plan, communication plan and recruitment process of stakeholders. Critical evaluation of PRINCE2 methodology is focused on giving a justification for selecting the methodology. The considered methodology in the development of Taunton Warehouse Project is beneficial because it can help to complete the project at the right time by helping in different project development phases.
4. Recommendations
For the successful completion of the project of Taunton Warehouse, the following recommendation must be considered:
- Development of potential work schedule and communication planning: The development of the potential working schedule and communication planning for the project development process can help to meet the project objective properly. In addition, the work schedule must be developed based on the given timeframes and capabilities of the employees and other stakeholders of the project. As influenced by Lecomber and Tatnall, (2017), the development of the effective communication plan can help in the process of establishing good relationships between the internal and external stakeholder of the project.
- Establishment of estimated cost and timeline based on project requirement: In order to ensure successful completion of the project in the considered time, estimated cost and timelines of the project must be developed by considering all the major requirements of the project. Analysis and evaluation of the major requirements of the project can help to maintain the standard and quality of 400 stores in a proper way. This process can also help in managing human capital and other resources of the project in a sustainable way.
- Focus on risk assessment: All the possible risks in the construction process of the project must be considered and potential risk assessment planning should be developed in an ethical way. Focus on risk assessment analysis including different areas of the project can help to ensure effective development and successful completion of the project at the right time.
- Inventory management: Inventory management process is one of the challenging tasks in project development; the proper focus is a must to avoid errors and barriers in successful project completion.
