BSS060-6 Project Management Assignment Sample 2023
1. Introduction
Project management is the process of leading an entire team in order to achieve the specific objectives of the project within the given period. The main difficulties in the project management system are to achieve all the goals of the project within the constraint of time and thus it is required to select the appropriate method for conducting the project work. This report would like to shed light on the Taunton Warehouse Project and the selected project management methodology that is PRINCE2 methodology. The report aims to highlight the detailed knowledge of PRINCE2 methodology with contrasting its benefits as well as limitations.
2. Main body
2.1 Details of the project
Taunton Warehouse project is one of the most important project management systems organised by the Supermarket X in the UK. As per the project charter, it has been mentioned that Supermarket X is one of the largest food retail shops in the UK with a large number of its stores and numerous customers. Therefore, in order to maintain the growth rate, the supermarket needs to expand its size which will help to add supply chain capability by reducing the cost. The client of the supermarket has won a five-year-long contract for operating the business in the warehouse, located in Taunton in the UK.
The client of the supermarket is responsible for the renovation of the site to initiate the business easily, to establish the IT infrastructure, operating the entire transport system, recruitment process and many more. The Supermarket X has the plan to close some of its business sites and to move those in the new place and it has also the plan to complete the entire work within the end of 2021. Therefore, PRINCE2 methodology has been selected for completing the project within the given constraint of time. The man objectives of this Taunton Warehouse project are as follows-
- To recruit more employees for completing the work properly within the given span of time
- To initiate the maintenance unit for vehicles and also resource recovery unit
- To migrate four chill and frozen sites from the old place to the new project site
- To initiate the TUPE transfer at the third party site located in Yeovil
- To close all the old sites of Supermarket X
2.2 Project management theory
Proper management of a project mainly includes the ideal planning for organising the entire plan and to implement those plans accurately to achieve the major goals of the project. As mentioned by McGrath and Whitty, (2020), project management theory mainly deals with the CPM (Critical Path Method) of the project, EVM (Earned Value Management) and lastly EAC (Estimate at Completion). As argued by Jaziri et al, (2018), all these three concepts of theory are very important while conducting any project and to achieve the major goals of the project as well.
As per the project management theory, the planning of the execution method of each step in the project needs to be very unique. As argued by Vaníčková, (2017), the CPM of every project must be unique to achieve the EVM accurately and all of these together help to get the EAC to complete the project within the proper time limitation. PRINCE2 technique is such a kind of project management methodology that helps to get accurate value and also enables the project to be completed within the proper period. Therefore, in order to make the Taunton Warehouse project more successful, this methodology would be selected to go through every step of the project management process.
2.3 Description of the PRINCE2 methodology
PRINCE2 methodology mainly stands for the Projects in Controlled Environment which is a process-based approach and popularly used by more than 150 countries. As mentioned by Alvarez-Dionisi et al, (2016), this system was first developed in the UK which includes different controllable stages that help to govern the entire process from the start to the end.
- Business justification: PRINCE2 methods mainly illustrates that the project must be viable, desirable and also achievable to get the maximum benefits. As mentioned by Samáková et al, (2016), this system helps to look upon the cost of the project, associated risk factors, successful outcomes and also benefits of the project to make it successful.
- Learning from experience: This project management method helps to understand the process from the experience. As mentioned by Kaczorowska et al, (2016), this method provides the chance to know about the alert or the risk associated in the past and from that experience it helps to take accurate strategy.
- Complete understanding of roles and responsibilities: PRINCE2 methods help for a complete understanding of the role and responsibilities of each member integrated into the project work. According to Matos et al, (2019), PRINCE2 methods aid in the improvement of the levels of management and thus help the employees to complete the work efficiently.
- Manage through steps: Successful projects involve different steps and thus it is important to understand the details of each step. PRINCE2 method helps to manage all the steps accurately and thus helps to complete the work systematically.
- Manage through exceptions: PRINCE2 methods focus on the business process and used to manage the process with exceptions. As mentioned by Matos et al, (2019), this helps to promote the extra benefits for the project to complete the entire work successfully.
- Focus on the main objectives: One of the major benefits of PRINCE2 method is that this process mainly focused on the objectives of the project. As argued by Kaczorowska et al, (2016), in a project management system the main aim is to direct the work in such a direction so that it can acquire the main mission of the project. PRINCE2 method assists to focus on the objective and thus prepares the project schedule accordingly. This helps to get the maximum productivity and also to complete the work with every operation within the proper timeline.
- Environment suiting measures are taken: In today’s condition, every business project or the processes mainly looks for the sustainable development of the project. PRINCE2 helps to take proper steps so that it suits the environment. As mentioned by Samáková et al, (2016), this is useful to put a positive impact over the project management system and helps to complete the work properly.
2.4 Critical evaluation of PRINCE2 methodology
There are several methods included in the project management process that provide the best conceptualisation plan for conducting the project and to get the maximum level of benefits.
Characteristics | PRINCE2 | PMBOK | Agile |
Concept | PRINCE2 methods of a project management system are a predictive plan-based approach that helps to complete the entire project efficiently. The UK government was first to introduce this method which has become one of the most demanding methods in the project scheduling system. | PMBOK is another well-known methodology within the project management system that has been globally accepted. As mentioned by Esteki et al, (2020), several frameworks help to manage the procurement of the project along with it providing different scope management systems to complete the project effectively. | Agile methods are another most important project management technology that is used by most of the organisations in today’s business world. This method is popularly known as the Scrum and is well known due to its flexibility and also pivoting capability. |
Advantage | PRINCE2 methodology has several benefits for completing the project effectively. According to Jamali and Oveisi, (2016), this method is mainly based on the controlled environment and also helps to define the role and responsibility of each project member. Along with this, this method provides a single approach system which makes it more appreciable for most of the organisation. | PMBOK has a great popularity level even in the outside of the UK and also in different parts of America. As argued by Murillo Gomez and Jiménez, (2018), this project method helps to provide an accurate framework that allows different scopes for contract management and also in the HR management system. | Agile method is very much important and also an adaptive process. It provides the chance for the incorporation of all new techniques in the project management system. Along with this, as mentioned by Hamad et al, (2018), this methodology is useful for the suppliers in order to deliver the work and it mainly highlights the lower-level terms of the project system. |
Disadvantage | This method is still not well known outside the UK; hence this method lacks popularity as compared to the other two methods. Along with this, this technique lacks the flexibility which makes the process complex to get easily understood. | This method promotes solely decision making and thus it creates problems for the other members to operate the project effectively. | The major disadvantage of this method is that it requires more time to complete the entire project and as argued by Axinte et al, (2017), it has less predictability capacity. |
Hence, from the entire discussion, it can be observed that PRINCE2 methods would be the appropriate method for using in this Taunton Warehouse project. As mentioned by Coppola et al, (2016), this system mainly aims to complete the entire project within the given period. This project also has the time limitation to complete the entire work and thus this would be the ideal methods for this project work.
2.5 Justification for selecting PRINCE2 methodology
A project management system is very crucial for every project work and the selection of accurate methodology to complete the project work is also important. Among different methodologies, the PRINCE2 method has been selected for the mentioned project work due to the following reasons-
- Helps to distribute the role and responsibility accurately: PRINCE2 methods help to distribute the role and responsibilities of each project member properly. As commented by Kononenko and Lutsenko, (2018), collaboration among team members is the essential thing that helps to make the project work perfect. Thus this method would help all the members of the team to know about their responsibilities which would make the project successful.
- Focus on time constraint: PRINCE2 methods highly focused on the time constraint and also aim to complete the entire operations of the project within the given period. This project has the aim to complete the entire process within the end of 2021 and thus as mentioned by Alvarez-Dionisi et al, (2016), this method would help to complete the process accurately.
- Focus on business justification: PRINCE2 method largely focuses on the business process and elaborates the accurate justification for every step of the project planning. As argued by Perrier et al, (2018), this would help the members to get accurate knowledge about every step and thus would help to make the project victorious.
- Tailoring approach: Tailoring approach of the PRINCE2 method helps to understand the target group of the project and thus help in the successful completion of the work. In this above-mentioned project, this method would focus on the business process accurately which would help to get maximum benefits.
- Improve communication therapy: Proper communication and collaboration within the team are very important for making the project successful. Taunton Warehouse project is quite a big project and thus communication is very important for making the appropriate linking. According to Hasibović and Tanović, (2019), PRINCE2 methods promote the effective communication system in the team and thus it would be accurately justified to select the method for this project work.
2.6 Risk analysis
Risk number | Description | Existing controls | Likelihood
(1-5) |
Impact
(1-5) |
Risk rating | Mitigation action |
1. | Improper knowledge | Due to the improper knowledge of techniques and the management system, it would affect the entire project activity. This would hamper the entire system and thus would create gaps within the steps. As a result of this, it would affect the entire productivity of the project. | 4 | 4 | High | Proper training |
2. | Financial risk | The up and down of the price for different requirements of the project would increase the risk of project management. The occurrence of risk factors may enhance the level of financial risk which would ultimately put an adverse effect on the project work. | 4 | 4 | High | Budget planning and maintenance |
3. | Legal risk | Proper legal advice is required before initiating the project. | 2 | 1 | Low | Appointing proper legal advisor |
4. | Monitoring management | The ineffectiveness of the project hierarchies may result in a mismanagement system that may hamper the main function of the project. | 3 | 3 | Medium | Enhancing communication system and measuring performance level |
3. Conclusion

In short, the report has drawn the basic picture of PRINCE2 methods and has delivered its importance successfully.
4. Recommendation
In order to get success in the project and to complete the work within the given period of time, it is important to include the following recommendations.
- Preparation of an accurate budget: Selection of the budget for the project is a very important step in order to limit the cost of the project. As mentioned by Buganova and Simickova, (2020), it is important to evaluate the budget along with the chance of increasing the price for the project. It is important to analyse the change in the budget system by identifying the risk factors.
- Development of a proper work schedule and effective communication management system: In order to manage the activity of the project, it is important to make a proper schedule for every employee. PRINCE2 method already helps to distribute the role and responsibility among each project team member. As influenced by the view of Al-Zwainy et al, (2016), it is required to initiate an effective communication system to manage the load of the work.
- Providing accurate training: Proper training would be provided to every employee to make them complete understanding of each step of the project. As mentioned by Buganova and Simickova, (2020), a training procedure would help to make the employees work more accurately and thus to make the process more successful.
- Motivate the employees: In order to complete the project work within the given period, it is important to improve the productivity level of the employees. As influenced by the view of Al-Zwainy et al, (2016), the performance of the employees would be monitored and based on the analysis, the reward would be provided to each of them. This would help to motivate them which would directly enhance the entire productivity of the project work.
