A+ Auto: Business Assistant
1st Week Reflective Journal
The first week of work is the most important one to understand the working of any organization. The workforce must have sound relationships with each other. Henceforth, when I first went to work I was introduced to the workforce who included the front desk person or the receptionist, the electricians, mechanics and the head of department. It takes time to adjust to any new surroundings and the same happened with me as I got accustomed to the working process and the premises. Everyone seemed to be satisfied with the work as I saw that the works such as technicians took deep interest in what they have been doing. The priorities of the workplace were pre set and well communicated throughout. The foremost preference was given to the booking of the cars, followed by repair work and at last the other works were given consideration. The place where cars were kept was well covered with the latest technical know-how. The workforce was really friendly and they did answer all my quarries with patience. I had a deep interest in the working of the technicians because of which I even developed good equation with them. They did help me to understand about the job description which emphasized on the requests which are placed by the customers such as the servicing of the car and repair works if any. I had to make my place in between the existing force and they helped me to understand my position. The owner of the business was even very nice person and was always ready to help. He taught me how to handle the questions which are asked by the customers. The company provided several services to the customers and each service had different price sheet. Furthermore, by the study from several sources I understood the formalities and requirements for opening up the automobile business of own and there is also a specific procedure to close it. In case this procedure is not followed it leads to a lot of perplexity. The safety and health issues are even paid a lot of heed in the automobile business as a slightest recklessness can cause a massive damage and injury. For the safety of the employees the premises were well equipped with first aid kits, sharp edges were well covered and the floor was very well maintained. There was an even restricted area for the customers. The general idea about the income and expenses in a single day was found out. Being new I did seek help from other employees at the times when I had some confusion concerning the front desk, repair work and techniques to repair.
2nd Week Reflective Journal
Following the first week I had a better understanding of my work in the second week. The interaction with the other employees was much more. The demand of the automobiles is completely dependent on the season and when I joined in it was the most crammed one. The company remained fully occupied with a lot of work either of new cars or the repair work. Due to large demand new employees were even recruited. I was placed at the reception wherein I had one to one interaction with the people. The cars which came for repairs were at first inspected by the mechanics and later were registered. I was given the opportunity to be with the mechanics while they were inspecting the vehicles and draft about the repair work required and even to give the estimate of cost to the car owner. Later a timeline was even prepared in the guidance of the owner and the repair team. Keeping up with the needs and the details of the customers was a crucial task. As many cars needed some new parts I was even handed over the job to communicate with the A+ vendor and even place order for the required parts. New equippents were even ordered during this time and I was even asked to make the list of the equipments and order them for the company. I came to know that some customers are not conscious about the replacement of the part under the same brand. Furthermore, some customers even order second hand parts rather than fresh ones. The concepts which I learned in my course were now being practically applied and there feasibility was tested in front of me. I developed a better understanding of the concepts such as value chain, business process, customer benefits and employee satisfaction. The concepts of marketing were now being actually applied by me in the practical world such as promotion methods, marketing plans, budgeting, engaging customers, developing markets and customer satisfaction to name a few. I understood the working of the business cycle. The brand is preferred and is reliable because of which the company has an extremely sound loyal customer base.
3rd Week Reflective Journal
Week third acted as a link to bridge the gap between my work and my learning. I started studying about several graduate dimensions and there need not only in the automobile business but in the business life cycle. The term graduate attributes gives the mantra for success by defining a number of qualities which aid the business to thrive and succeed. These attributes are: communication, creativity, acquisition, responsibility, team work, flexibility, responsibility, application and at last leadership. It is being taught that the business thrives for the customers and no profit is possible in lack of the customers. The customers were given high priority and A+ automobile also. It is the customers who make the brand reputation in the market. The brand image is made by the customers in the market. All the problems of the customers were herd with a lot of patience and the solution to their issues were provided. I learned the meaning of customer care in true sense. In case the customer wasn’t happy with the service provided it was reported to the owner in return of which other facilities or services were offered.
Moreover, application of the techniques and strategies which I learned as a student were even explored to a further degree. The application of these strategies will definitely prove to be advantageous for me in my future career. I observed that the company was running well but it lacked the position of business assistant. For the success of any business marketing must be done in the right direction by the use of advertisements which can be through pront or electronic media, visual sources such as television, or the audible media by taking help of radio. I gave the brand the suggestion of conducting and collaborating with other companies such as taxi business, rented cars and other car business in Darwin. But to expand its wings the company needed to hire new skilled employees. Also, high investments will be needed for equipments and bigger premises.
4th Week Reflective Journal
In this week the other business attributes were explored which were concerned with communication and creativity. Any company irrespective of its nature cannot function effectively and efficiently without proper flow of communication at every level of work. Communication acts as a backbone of healthy work environment. By working with the company I got the opportunity to develop my communication skills by communicating with the other employees, customers, my superiors and others. The use of both verbal and non verbal communication techniques was done. The verbal techniques included personal conversations, on call and even through e mails. Also, the use of non verbal communication incorporated emotional connection, body language and gestures by the people surrounding me. During the process of communication I did interact with the people belonging to different cultures, language, interest and other diversities. I got a good exposure which helped me to become confident while communicating. I even learned how to present my opinion in front of others.
Any business needs to innovate and bring in new ideas if it wants to succeed. As studied in my MBA program I learned that the company required new modern techniques of working and an analysis by which the business process can be analyzed and improved. To achieve this systematic strategy was planned by which the view points of the customers were evaluated by taking their feedbacks about the services which were provided by the company. At first the feedback of the customers were only paid heed orally but later it became difficult to keep a track on the customer’s feedback which led to commencement of a feedback from wherein the customers can easily write their opinions. In these feedback forms all the customer details were even recorded. It even helped the company to develop a customer database. Offers and gift were even given to the regular customers from time to time to keep the flow of communication going. The customers were even asked to provide us with numbers of people in their pear group who might enjoy our services.
5th Week Reflective Journal
Teamwork was all that I worked upon in my fifth week at work. I worked in a team and completed many jobs as a part of the team. Many meetings were held wherein several task and there completion process was discussed. Even I enjoyed being the part of the team and communicated with them for the repair works which were required in the cars. With proper discussions from the team I also ordered certain mechanical parts for the company. I also performed the work of scheduling and made timelines for the repair works. I worked well as a team member. I understood that the suggestions and viewpoints of every individual in a team are equally important and everyone must have chance to speak out there mind. My team was a small one and had only five members in it. Different teams were made in the company so as to decrease the timelines and offering focused services to the customers. Communication and planning remained an integral part of the functioning of the team. Skills of every member of the team were put to use due to high occupancy in the season. All the objectives and short term goals were easily achieved with the corporation and suggestions of all the team members. The team consisted of the business department, electrical as well as mechanical department employees. I was even given a chance to become the team leader and answer to my superiors regarding the functioning of my team. I learned that many problems arising in any company can be easily solved and eradicated with the help of free flow of communication and formation of strong teams. The team members become extended family and care for each other in every situation arising at work front.

Taking up responsibility at workplace is a part and parcel of the job. It acts as a tool to prove the worthiness of the employee and explore the skills beyond expectations. It even develops confidence and reputation of the employee in front of the work force. Every employee has a pre defined set of responsibilities. As an employee even I was handed over certain specific responsibilities. My responsibilities incorporated the following: responsibility of placing advertisements specifically print to recruit new work force, make the list of orders to be placed, placement of orders including parts and equipments and handing them over to the respective departments, understanding the issues if arising and communicating them to the head as well as the owner of the business and at last opening up the workplace and closing it. With it I even used to fulfill some other task and responsibilities which included understanding the need of the customer concerning the car and what repair works have to be done. I used to take follow ups from the various teams and made sure that work of the mechanics and the electricians is completed on time before the delivery date of the car. The parts were delivered to the company but all the parts were useless until they were installed in their respective cars and hence I delivered those parts to the mechanics. Many parts were needed in bulk quantities as they were the basis of the car functioning which were ordered by me. The timely availability of these parts was extremely crucial. Some of these parts were: engine, oil, break and clutch pads to name a few. While working many tools was also broken and a list was made of these tools as unavailability of these tools could have caused delays in the work procedure. As safety was an integral part of the working of the company the presence of first aid kit in the office and even in every team was ensured. To avoid accidents sharp objects were protected and the floor walls had visible signage. Being new to the work I used to make a list of my responsibilities and used to check the list every day. The responsibilities were given priorities in accordance to the plan of the day’s work and time.

Flexibility at the work place is the key to success of the A+ Company as it utilizes all the hours of the workforce and does not waste time. Also I remained quite flexible during my working in the company. I was ready to mold myself in the environment of the work place as that was the only way to understand the functioning of the company in an unbiased manner and absorb the most out of the work environment. There are certain tasks which are quite rigid and some are very flexible in the nature. I throughout my work experience remained flexible and I was even ready to learn new tasks every time. By adjusting in the team I learned a lot about the working of the company and even the minor aspects were clear. At the same time the owner helped me in understanding about the functioning of the company. The problems which arouse in the company were quite clear and after mixing up with the team members they became quite candid in letting me know the insights of the working. Flexibility is in fact an integral part of working of any company. New recruitments were also done during this time and the opportunity to communicate and converse with these new recruits was even provide to me. Every recruiter has impeccable set of skills and my responsibility was to analyze them on the grounds of their skills. Every company which is in need to elaborate its work force must be flexible as it offers a solid base to interact with the recruiters and carry forward the selection process with ease. For the flexibility of the team every participant of the team must be flexible. The chance to work in the A+ automobile company was only feasible because of my flexible nature.
8th Week Reflective Journal
The success of any organization is depended upon the capacity and the vision of its leader. While completion of my course I did learn a lot of concepts about leadership. A leader must possess several skills and techniques to get the work done and extract the most out of the work force. As a student I gave many presentations individually and as a leader of a group. As a leader it was my responsibility that the pre set goals were accomplished on time. the people at A+ company were kind enough to provide me with ample opportunities to showcase my leadership skills. Motivating the employees is the prime task of any leader and it the company I was the team leader where in I regularly motivated the employees to perform better. A leader does not only designate the responsibilities but works with the employees for the fulfillment of the goals. The planning of the future activities and tasks was also done. On the other hand when any problem arises at the work place it is the responsibility of the leader to come up with solutions. My team was small with only five people because of which I had a great experience in the company. As a leader I understood that the repair and maintain of the cars is not possible until the equipments are in there best condition and therefore I paid heed on it. At first the cost of maintenance was high due to immense gap between the purchase and maintenance but later this cost started reducing. The owner of the company even gave me the responsibility of opening and closing the premises which made me feel like a leader in true sense.
9th Week Reflective Journal
Any business requires investments from time to time. In ninth week I sunk in the working environment of the company. Although the company was doing well for itself but it was not free from the competition. A well designed future plan and business relation goal was formed. The company wants to enter and explore the areas of: wheel balancing, car polishing, body kit installments and make heavy investments in these areas. The market of these services in the city is huge. For entering into this sector, a lot of funds and investments will be needed, which at present goes in the servicing of the technical knowhow. At the same time it is observed that in Darwin there is a busy season and a slag season for the business of automobiles. In the busy season a lot of profits are made but the reverse happens in the slag season. In my opinion to get a high return on investments in future the company mist not invest a heavy amount but think about collaborating with the other business which will prove to be worthy. The company has a good terms with many big and small business corporations such as Japanese auto. These businesses being small in nature, will offer services of the company at lower prices to the company. The prices of such services are usually high in the market. In accordance to the area of work the company must not make heavy investments in the current premises and rather pay attention in building up and developing good relationships with other business which offer services such as polishing, wheel balancing, car interiors and many more. A good network of business relations in Darwin will defiantly prove profitable for the company. But the development of these relationships will require a step by step plan. I did study how to make business plans in my MBA course and I will be more than happy to develop a future investment plan for the company.
10th Week Reflective Journal
The tenth week was a mixture of health and safety with its related aspects. Safety of the employees is very important for any organization and in automobile industry safety always comes first as a minor mistake can lead to accident and injury. In this particular industry there are specific rules and protocols which must be followed. These rules make sure that the employees are safe. It is the government who is the authority to set all these rules and these safety rules are different from one business to another depending upon the nature of work. The automobile industry is a risky one and therefore the rules formed act as an integral part of the industry. The presence of fire extinguisher is a must as any time the work place can catch fire. The walls were even covered with signage. The sign boards even specify the safety rules at the work place. To ensure the well being of the employees the owner of the place is well trained with the procedures of first aid. It is a compulsion for the workers to wear proper uniform with goggles, head set for the sound protection, emergency exits to name a few. As far as equipments are concerned, all the equipments are repaired from time to time and in case of wear and tear immediately new tools are ordered. Sever tools which were present are: diesel and petrol engines and car lift tools for the car’s engine gear, tester and tachometer for hand gear, air polisher, air compressor, air blow gun and others were the available air tools. With it many other tools were also present in the company.
11th Week Reflective Journal
As the student of MBA I have learned to make the proposals for the business. While working in the company and experiencing the work procedure over there I observed that most of the customers of the company are the old and loyal ones. The entry of new customers is less which is because of lack of marketing and promotions done by the company. The other companies operating in the same field are tak9ng help of marketing tools to increase their business. Marketing can be done by taking the help of magazines, news papers, pop up at web sites, registering on the social media site and many more. Pamphlets can also be distributed at gas stations. To encourage the customers and attract them various offers can be provided such as early bird, student discounts, and offers for the senior citizens and lucky draw. Collaboration with other companies and tie up with companies such as Japanese auto can even boost up business. A+ automobile is a medium scale unit and has to compete even with the big names in the business. The company even has the option to collaborate itself with business of rental cars, taxies and can even do certain agreement with them. I was incredibly overwhelmed that my idea about the development of business relations with other companies was appreciated and implemented by the proprietor of A+ automobile. I was given authority for the development of business plans and explore the future possibilities for the business using my skills. I even gave a presentation to the stakeholders of the company on the behalf of the business owner. My position in the organization is proving to be a great learning experience for me and I am thrilled that my outcomes are even being advantageous for the company in regards of attracting and sustaining more business. The company even offered me a job after the completion of my studies.
12th Week Reflective Journal
The twelfth week was the last week of my wonderful experience. Till now I carried on my job with full honesty and determination. I was glad that my efforts were visible to the team members and my skills were helpful to them in many ways. I was able to learn a lot of practical things from the work force and my team and in return they understood various concepts which were taught to me in my MBA program. These concepts were even utilized and applied by the team in day to day working. As a team member I was able to develop harmonious relationships with the other members of the team. My skills were even polished, refined and put to use. I was offered a job in the company which made me delighted and feel valued. With the help of my leadership skills I did plan every action and gathered the team as one rather than individuals because of which the proprietor of the business has offered me to work as the head of the other branches and help him in expanding the business to reach new horizons. I did realize that the placements while doing the MBA program act as a motivating factor and such jobs aid in the application of the learned knowledge into practical world. I was extremely thankful to the company and the owner as they helped me to grow and flourish in there prestigious company. Working in the company was indeed a win-win situation for the business and for me as well. I am definitely looking forward to join the company again after my course is over and to provide my services to them.
