Duty of the volunteers

They should provide the necessary support for foreign languages to the participants for interaction with the media and other persons. They will also be required to provide transportation to medical participants in case of injury to athletes. They will also provide support in transporting the injured athletes to the first-aid room. Apart from this, these volunteers are required to play a supporting role in media and other ceremonies.
The volunteers will have to arrange the support measures for the international and domestic media for conducting effective interviews. The support will be provided to the media for covering the sports event so that the university gets the desired recognition. The HR will be listing all the names of the volunteers as per the registered IDs. They will also have to keep a record of all the visitors to the event. They will ensure that the visitors undergo the required security and medical checkups in this pandemic situation. This will help in ensuring the health and safety practices of the venue.
Meeting the health and safety needs of the volunteers
The HR will ensure that the adequate health and safety needs of the volunteers are met and they are given the treatment as required. If they suffer an injury then they will be given the required medical facilities. The volunteers will also maintain adequate health and safety protocols as laid in the guidelines. They will be required to check the physical fitness certificates of the athletes produced by the participants along with their identity proofs. The volunteers will be required to remain physically fit before two weeks of the event and after one week of the event. In case of any medical problem, they will have to report to the HR manager.
Perceptions of the volunteers in the event
Managing an event like a community sports event of a reputed university can be considered as a one-time mega opportunity for the volunteers. In this context, the “top-down program management” approach will be conducted for the volunteers. The participants of the event will be communicated through emails and messages where the documents will be sent so that they can understand their responsibilities. Holmes et al. (2018) stated that the volunteer program should be organised well so that the volunteers can be comfortable working in the event. An inflexible and standardised approach will be oriented towards volunteers for improving their activities and delivering the required outcomes of the event.
