This paper main aim is to discuss the automated management information system that is required to managing and monitoring the business to a large extent in an efficient manner. The development of automated information system will provide the support to the company Signed Sealed Delivered in managing the picking up and packaging detail information efficiently and effectively. The automated system will be designed by considering the needs of the particular business in order to improve the operational effectiveness (Galliers and Leidner, 2014). This main purpose of this paper is to assess the case study of Signed Sealed Delivered Company and develop a information system management plan. It is important that implementation of automated information management system will lead to increase in business efficiency and productivity as well as employee satisfaction.
In every project, feasibility analysis study plays a significant role in project management as it help in evaluating the potential success of the organizations. Moreover, this feasibility analysis of project also includes technical feasibility, economic feasibility and operational feasibility.
Mordasini, et al. (2013) defined technical feasibility helps in analyzing the technical resources available to the organizations. This helps the organization to determine that existing technical resources capacity and capability of technical staff to manage the innovative working system. The implementation of new technology in existing technology will also require some additional technical resources in order to manage and monitor the business efficiency after implementation of new information software. The use of new technology can help the organization to analysis the effectiveness of new software for the development for operational functions. For this, organization needs to recruit new technical staff which easily accesses the new software and focus on satisfying the customers. In present situation, technical resources of the company is not that stable that meet the organization requirement efficiently for which it required to implement new information management system.
This feasibility help in evaluating the cost/benefits analysis of the project as it help in determining the viability, benefit and cost which are associated with the project before allocating financial resources. In other words, Kerzner (2013) clearly explained that cost benefit analysis is used as effective tool which help in determining the economic feasibility by comparing the cost and benefit. For determining cost-benefit analysis, some elements are considered that involve cost to accomplish the project so that new management information system get implemented effectively. This feasibility analysis helps in analyzing and determining that how efficiently organizations needs could be met by implementing a new project plan. The development of new automated informational plan can help the organization to get satisfy with the requirements that are required to be made for making operational work smoothly and efficiently. In addition, Baskerville and Wood-Harper (2016) also identified that operational feasibility need to be analyzed in order to check whether the developed project plan will satisfy the organization requirement efficiently. Using new automated information system assist the organization to meet the requirement of maintaining records of all information related to payment system, corporate customers and individual customers details and so on. The current operational function of company Signed Sealed Delivered is effective but somewhere there are some issues that are developing barriers for the company to perform effectively and smoothly.
There are two different types of requirements such as functional requirement and non-functional requirements that need to be fulfilled by the company before implementing the Automated Information Management System.
A functional requirement analysis refers to those functions which a system requires to implement in the existing processes to perform well and efficiently. Some functional requirements which are required by Signed Sealed Delivered Company are as follows:
Business rules: These rules are intended to be followed by the businesses in order to avoid any errors and complex problem into the system.
Audit tracking: This function of tracking all operational activities will somewhere help in reducing the scope of errors and manual calculations.
Interfaces: This requirement helps the company to manage the relation with the customers and suppliers by connecting with them directly.
Transaction and Cancellation: This requirement would help the management to maintain the records of the various transactions related to financial or non-financial transactions in order to avoid any future delay in payments.
Administration functions: In this functional requirement, it would be easy for administrative staff members to access the level of new system and provide authentication rights too. This help in identifying any uncertainty in information system (Motro and Smets, 2012)
In contrast to functional requirement, the non-functional requirements specify the main methods that play a significant role in analyzing the practical working of system. Before implementation of Automated Information Management System, it is important to consider some factors such as:
Proper storage of data: This non-functional requirement helps in analyzing the reliability and accuracy if data which is stored so that it is evaluated that all details of customers and business transactions are recorded properly or not (Power, et al. 2015).
Automate the process of courier services: This help in analyzing the process of picking up and delivering the packages from one place to another. This requirement will be solved by development of effective software which assist the employees to manage the delivery of packages to the customers on the time.
Scalability and Availability: This requirement refers to analyzing the scalability of operational processes in order to determine that new information system may not be accessed by large number of employees.
Security aspects: This is a major requirement that need to be considered by the organization related to the protection or security of the data and system (Willcocks, 2013). The security of data is major requirement that needed to be maintained by the organization in order to avoid any threat or fraud.
Performance: It is necessary to analysis the performance of new information management system by determining the stability, response time and utilization of resources in an efficient manner by the organization.
For developing an effective project plan, it is very important for project manager to focus on factors that develops limitations while designing a project plan. There are different types of project constraints like schedule, time and cost which affects the performance and efficiency of project completion. It is very much necessary that project manager focuses on these constraints as it creates impact on the deliverables quality of the services which company offers to its customers (Fayard, et al. 2012). For completing the project on time, there is a need that project work is scheduled properly and time & cost allocated to complete one particular project task required to be sufficient. In addition, to this, employee is also constraint in the project because each employee works on it terms & condition i.e., have its own unique skills and capability which affects the business performance and productivity level to some extent. Simply, employee skill and ability is also constraints for accomplishing the project goals and objectives.
